Sales → Receive payment · Sales → Credit memos
What this does
Receiving a payment reduces accounts receivable and records cash (or a deposit to clear). The later bank line should be matched, not categorized again.
A credit memo reduces what a customer owes and can be applied to open invoices. Paying credit back uses Customer refunds (Built – unverified).
How to
Receive a payment
- 1Open the invoice and choose Receive payment, or use Sales → Receive payment.
- 2Enter the amount, date, method, and deposit account.
- 3Apply to one or more open invoices.
- 4Save. When the bank line imports, choose Match.
Issue a credit memo
- 1Sales → Credit memos → New.
- 2Choose the customer and the items or amount being credited.
- 3Apply it to an open invoice.
What happens in your books
Receiving $1,080 against invoice #1042:
| Account | Debit | Credit |
|---|---|---|
| Checking (asset) | 1,080.00 | |
| Accounts Receivable (asset) | 1,080.00 |
Common mistakes
- Categorizing the deposit as income in banking — revenue was already recorded by the invoice.
Troubleshooting
