Emailing invoices and payment reminders
Compose invoice emails, set a reminder policy for overdue invoices, and review the outbox — actual delivery requires a connected email provider.

Sales → Invoices → (invoice) → Email · Settings → Sales → Reminders · Sales → Outbox
Built – unverified (prelaunch). Human certification pending.
What this does
The composer drafts a message with the invoice attached or linked. A reminder policy schedules messages before or after due dates.
Every message is queued in the Outbox with its status. Without a connected email provider, messages stay queued and nothing is delivered — download the PDF and send it yourself.
How to
Send an invoice
- 1Open the invoice and choose Email.
- 2Review recipients, subject, and message.
- 3Queue it. Check the Outbox for status.
Set reminders
- 1Settings → Sales → Reminders; choose offsets (e.g. 3 days before, 7 days after due).
- 2Edit templates and save.
Statuses and lifecycle
| Status | Meaning |
|---|---|
| Queued | Waiting to send (stays here if no provider). |
| Sent | Handed to the email provider. |
| Failed | Provider rejected it; see the reason. |
| Cancelled | Removed before sending. |
Corrections, voids, and reversals
- Cancel a queued message; sent messages can’t be recalled.
Audit trail
- Each message records who queued it, when, and its delivery status.
Availability and provider notes
- Built – unverified: this workflow exists in the prelaunch product but has not yet completed human certification. Review results before relying on them.
- Provider connection required for actual email delivery. Delivery and open tracking depend on the provider.
Permissions
- Owners, administrators, and users with bookkeeping permission can create and post. View-only users can read but not change records.
What happens in your books
No accounting effect.
Common mistakes
- Assuming a queued message was delivered.
Troubleshooting
Messages stuck in Queued
No email provider is connected.
