Inventory → Warehouses
What this does
Each warehouse holds its own quantity per item. Purchases, sales, and adjustments record which location they affect.
Transfers move quantity between locations. They change where stock sits, not what it is worth in total.
Before you start
- Create items first. Decide a default warehouse for purchases and sales.
How to
Add a warehouse
- 1Inventory → Warehouses → New warehouse.
- 2Enter name, code, and address.
- 3Optionally mark it as the default.
- 4Save.
Transfer stock
- 1Inventory → Warehouses → New transfer.
- 2Choose From and To locations and the date.
- 3Add items and quantities (and lots/serials if tracked).
- 4Save. Both locations update immediately.
Statuses and lifecycle
| Status | Meaning |
|---|---|
| Active | Can receive and ship stock. |
| Inactive | Only allowed at zero quantity; history retained. |
| Transfer posted | Quantities moved; a transfer is corrected by reversing it. |
Corrections, voids, and reversals
- Reverse a posted transfer and enter a new one; transfers are not edited in place.
- Posted records are never edited in place. Void or reverse them; KontoCore records a linked reversing entry with the user, time, and reason.
Provider and availability notes
- Inventory work happens in the browser workspace. Dedicated mobile warehouse apps and handheld barcode-scanner integrations are not offered.
- Transfers between separate legal entities are intercompany transactions, not warehouse transfers.
Permissions
- Owners, administrators, and users with bookkeeping or inventory permission can create and post. View-only users can read but not change records.
What happens in your books
A transfer between locations of the same company posts no net general-ledger change. If locations map to different dimensions, the dimension values move with the stock.
Common mistakes
- Using an adjustment to move stock between locations, which posts a loss in one and gain in the other.
- Leaving purchases on the default location when goods arrived elsewhere.
Troubleshooting
Transfer blocked for insufficient quantity
The From location doesn’t have that quantity on the transfer date. Check earlier receipts or the date.
