What this does
A batch collects proposed bill payments. Reviewers can remove items or adjust amounts; an approver releases the batch, which records every payment together.
Separation of duties can require that the person who prepares a batch isn’t the one who approves it.
How to
Run a batch
- 1From Pay bills choose Add to batch, or open Payment batches → New.
- 2Review totals by vendor and account.
- 3Submit for approval.
- 4Approver reviews and releases; payments are recorded.
Statuses and lifecycle
| Status | Meaning |
|---|---|
| Draft | Being prepared; editable. |
| Submitted | Awaiting approval. |
| Approved / Released | Payments recorded. |
| Rejected | Returned with reason. |
Corrections, voids, and reversals
- Void individual payments after release; a released batch is never edited in place.
Provider and availability notes
- Bank transmission or payment files require a connected provider; otherwise make payments at your bank and release to record them.
Permissions
- Preparers and approvers are set by role; approval rules apply on Advanced and above.
What happens in your books
Nothing posts until release; then each payment posts as a normal bill payment.
Common mistakes
- Releasing a batch before the bank actually sends the payments, then missing a failed payment.
Troubleshooting
Can’t approve
You prepared the batch and separation of duties is on, or you lack the approver role.
