In plain English

For entries you make every period — accruals, amortization, allocations — save them once and KontoCore drafts them on schedule.

What this does

A recurring template holds balanced lines, a cadence (monthly, quarterly, or yearly), and an explicit next-run date.

Each run creates a Draft journal entry linked back to its template. Nothing posts until you review and post the draft.

Each period can only be generated once per template, so a retry or second click never creates a duplicate.

Before you start

  • Confirm the accounts exist and the target periods are open.
  • Know the amounts and the first date the entry applies.

How to

Create a template

  1. 1Open Accounting → Journal entries → Recurring → New.
  2. 2Enter name, memo, and lines; debits must equal credits before you can save.
  3. 3Choose cadence and the next-run date, and optionally an end date.
  4. 4Save. The schedule shows as Active.

Review generated drafts

  1. 1Open Journal entries and filter to Draft (or open the template’s run history).
  2. 2Check amounts, date, and accounts.
  3. 3Post, or delete the draft if not needed for that period.

Pause, skip, or end

  1. 1Open the template and choose Pause, Skip next run, or Disable. The schedule list shows each state.

Statuses and lifecycle

StatusMeaning
ActiveGenerates drafts on the next-run date.
PausedNo runs until resumed.
SkippedOne period intentionally not generated; next run moves on.
DisabledEnded; history kept.
BlockedThe target period is locked or closed, so generation did not happen.

Corrections, voids, and reversals

  • Editing a template affects future runs only; it never rewrites drafts already generated or entries already posted.
  • Correct a posted generated entry by reversing it, like any journal entry.

Audit trail

  • Every create, post, void, and reversal records the user, time, and reason, and links to the source record.
  • Generated entries carry a link to the template and the period they were generated for.

Availability and provider notes

  • Built – unverified: this workflow exists in the prelaunch product but has not yet completed human certification. Review results before relying on them.
  • No external provider is required.

Permissions

  • Owners, administrators, and users with bookkeeping permission can create and post. View-only users can read but not change records.
  • Administrators can restrict who may create or change templates.

What happens in your books

Nothing posts when a draft is created. Posting the draft records the entry, e.g. monthly prepaid insurance:

Monthly amortization · illustrative
AccountDebitCredit
Insurance Expense250.00
Prepaid Insurance250.00

Common mistakes

  • Posting drafts without reviewing changed amounts (e.g. a rate increase).
  • Expecting generation into a closed period — reopen it or pick a later date.

Troubleshooting

No draft appeared

The schedule is paused/skipped, the period is locked, or that period was already generated.
