What this does

The standard sales flow is Estimate → Invoice → Payment → Reconcile. Each step can also stand alone — you can invoice without an estimate or record a sales receipt when paid on the spot.

Recurring templates create invoices on a schedule you set.

Sales forms use your organization branding and professional templates, adjustable with the manual visual designer on Core. AI-assisted form design is available with Autonomous.

CustomersCreate and manage customers, contact details, billing terms, tax status, and balances.Items: products and servicesSet up the services and products you sell, with default prices, income accounts, and tax settings.Estimates and invoicesSend estimates, convert them to invoices, set terms and tax, and understand what an invoice does in your books.Customer payments and credit memosReceive payments against invoices, handle partial payments and overpayments, and issue credit memos.Customer payments and depositsReceive customer payments against one or more invoices, handle partial and over-payments, group them into bank deposits, and match deposits to bank lines.Credit memos and customer creditIssue credit memos for returns, discounts, or billing errors, apply them to open invoices as customer credit — without editing the original invoice. Cash refunds use the Customer refunds workflow.Recurring invoicesSet up invoice templates that repeat on a schedule, choose whether each one is created as a draft or sent, and pause, edit, or end the series.Customer refundsPay money back to a customer from available credit, an overpayment, or an unused deposit, choosing the paying account and method — never as an expense.Writing off uncollectible invoices (bad debt)Write off all or part of an open invoice to a bad-debt or write-off account, keeping the invoice and its history, with reversal if the customer later pays.Customer deposits, prepayments, and retainersRecord money received before you invoice as a customer deposit liability, apply it fully or partly to later invoices, and refund any unused balance.Customer statementsProduce a customer statement for a date range or as-of date showing opening balance, invoices, credits, payments, refunds, write-offs, and ending balance.Emailing invoices and payment remindersCompose invoice emails, set a reminder policy for overdue invoices, and review the outbox — actual delivery requires a connected email provider.Online invoice paymentsHow online card or bank payment on invoices works in KontoCore: a payment processor must be connected before customers see any Pay button.
