Purchases → Pay bills
Sending money electronically: Provider connection required. Recording payments made elsewhere works without one.
What this does
Pay bills lists open bills by due date. You choose which to pay, how much, the paying account, and the method (check, ACH/transfer, card, cash). Partial payments leave a remaining balance.
Recording a payment does not move money by itself unless an electronic payment provider is connected; most organizations record payments made through their bank.
How to
Pay bills
- 1Open Purchases → Pay bills.
- 2Filter by vendor or due date and select bills.
- 3Adjust amounts for partial payment; apply any vendor credit.
- 4Choose paying account, method, and date.
- 5Save — or send to Payment batches for approval, or to Checks for printing.
Statuses and lifecycle
| Status | Meaning |
|---|---|
| Open | Unpaid. |
| Partially paid | Balance remains. |
| Paid | Fully paid. |
Corrections, voids, and reversals
- Void a bill payment to reopen the bill. If the bank line is reconciled, unreconcile first.
- Posted records are never edited in place. Void or reverse them; KontoCore records a linked reversing entry with the user, time, and reason.
Provider and availability notes
- Electronic payment initiation requires a connected payment provider.
Permissions
- Owners, administrators, and users with bookkeeping permission can create and post. View-only users can read but not change records.
- Organizations with approvals turned on require approval before payment.
What happens in your books
Payable down, cash down.
| Account | Debit | Credit |
|---|---|---|
| Accounts payable | 800.00 | |
| Checking | 800.00 |
Common mistakes
- Categorizing the bank withdrawal as expense instead of matching the bill payment — expense is doubled.
Troubleshooting
Bill still open
The bank line was categorized instead of matched. Undo and match to the payment.
