What this does
Each job ties a customer to its contract, budget, commitments, costs, and billings. The detail page shows budget vs committed vs actual vs billed per cost code, with links to every source document.
Actual cost comes only from posted, job-coded sources (bills, expenses, payroll, equipment, journal entries). Purchase orders and subcontracts are commitments — they never count as actual cost.
How to
Create a job
- 1Open Projects → New job.
- 2Choose customer, name, number, dates, and cost structure template.
- 3Save; add budget and contract next.
Close out
- 1Confirm all bills and payroll are posted and billings are final.
- 2Close open commitments with reasons.
- 3Review WIP; set status to Closed.
Statuses and lifecycle
| Status | Meaning |
|---|---|
| Bid / Pending | Not started. |
| Active | Accepting costs and billings. |
| On hold | Temporarily paused. |
| Closed | No new costs; history retained. |
Corrections, voids, and reversals
- Move miscoded costs with job cost corrections; reopen a closed job if late costs arrive.
Permissions
- Project managers can view and update jobs they are assigned; posting rights follow bookkeeping permissions.
What happens in your books
Jobs are tracking dimensions; the job itself posts nothing.
Common mistakes
- Closing a job with open commitments still shown as remaining exposure.
Troubleshooting
Actual cost looks low
Bills are unposted or not job-coded.
